Understanding Submission Statuses

After you submit your work to a call, your submission moves through different stages. Understanding these statuses helps you know where your work stands and what to expect next.
Check Your Submission Status
You can check the status of all your submissions from your Dashboard:
Log in to Crafted Call
Click Dashboard from the main menu
Go to My Submissions or Submissions tab
You'll see all your submissions organized by status
Click any submission to view full details, including the submission date, deadline, and any notes from the gallery.
Submission Statuses Explained
Draft
Your submission exists but hasn't been submitted yet. You can:
Edit: Go back and make changes to images, title, dimensions, or artist statement
Delete: Remove the submission entirely
Submit: Send it to the gallery when you're ready
Complete: Finish filling in required fields and submit
What this means: You're still working on it. No one at the gallery can see it yet.
Submitted
You've successfully sent your submission to the gallery. The gallery has received it and it's now in the review queue. You can:
View: See all the details of what you submitted
Withdraw: Remove your submission (though this may forfeit your entry fee—check the call's terms)
What this means: Your work is officially entered into the call. The gallery will begin reviewing submissions on their timeline.
Under Review
The gallery is actively reviewing submissions, including yours. This means:
A jury member or curator is looking at your work
Your submission may be scored, commented on, or ranked
You cannot edit or withdraw without contacting the gallery
What this means: Your work is being considered. Be patient—the jury process takes time, especially for competitive calls.
Tip: The gallery will notify you by email when decisions are made. Make sure your email address is up to date in your account settings.

Accepted
Congratulations! Your work has been selected. The gallery may include additional information such as:
Exhibition dates and location
Shipping or installation instructions
Fees or costs (insurance, loan fees, etc.)
Next steps for the artist
You can:
Accept: Confirm you'll participate
Decline: Politely withdraw from the exhibition
Ask Questions: Contact the gallery if you need clarification
What this means: The gallery wants to show your work. Respond promptly so they can finalize their exhibition.
Rejected
Unfortunately, your submission was not selected. This happens in competitive calls where many artists apply for limited spots. You can:
View feedback: Some galleries provide comments on why your work wasn't selected (if the call included feedback)
Apply again: If the gallery has future calls, you can resubmit
Learn and grow: Use this as motivation to refine your work or try other calls
What this means: Your work didn't align with this particular gallery's needs or jury preferences. This is normal and happens to all artists. Keep submitting.
Tip: Don't take rejection personally. Jury decisions are subjective. A piece rejected by one gallery might be perfect for another.
Waitlisted
Your submission made it to a shortlist, but wasn't quite selected. The gallery is keeping your work in case another artist declines or circumstances change. You can:
Wait: The gallery may contact you later with an acceptance
Ask about timeline: Reach out to the gallery if you need clarity on when you'll hear back
Continue submitting: Apply to other calls while you wait
What this means: Your work was strong and made an impression. The gallery sees potential, but had to choose other pieces this time.
Withdrawn
You or the gallery has removed your submission from consideration. This might happen if:
You withdrew your submission before the deadline
The gallery cancelled the call
You declined an acceptance
You can:
View details: See why the submission was withdrawn
Submit again: If the call opens again, you can resubmit (if allowed)
What this means: Your submission is no longer being reviewed. Any entry fee may or may not be refunded depending on when the withdrawal occurred—check the call's terms.
Notification Preferences
Crafted Call can notify you whenever your submission status changes. To manage how you receive notifications:
Go to Account Settings
Click Notification Preferences or Email Settings
Toggle notifications for:
Submission status updates
Acceptance notifications
Rejections
Waitlist updates
Deadline reminders
You can choose to receive notifications immediately, daily digest, or not at all.
Tip: Turn on notifications for important updates (acceptances, rejections, waitlist) so you don't miss anything.
Timeline Expectations
Every gallery works at their own pace. Here's what to expect:

Appears immediately after you pay entry fee
Under Review
Weeks to months (check the call details)
Decision (Accepted/Rejected/Waitlisted)
Usually within 1–4 months after deadline
Exhibition (if accepted)
Months after notification (varies by gallery)
Some galleries provide expected decision dates in the call details. Check there for specifics.
What to Do With Your Submissions
Track Multiple Submissions
Keep all your submissions organized on your Dashboard. You can:
Filter by status to see only accepted work, pending decisions, or rejections
Sort by deadline to see what's closing soon
Search by gallery name
Learn From Feedback
If a gallery provides feedback on rejected or accepted work, read it carefully. Use constructive feedback to improve your future submissions.
Plan Your Exhibition Calendar
Once you have acceptances, use your Dashboard to track exhibition dates, deadlines for shipping/installation, and any fees or requirements.
Stay Organized
Create a spreadsheet or use Crafted Call's built-in tools to track:
Which calls you've applied to
Submission dates and deadlines
Expected decision dates
Status and outcomes

Q: Can I edit my submission after I submit?
A: No, once submitted, your work is locked. Contact the gallery directly if you need to make changes.
Q: What if I'm accepted but want to decline?
A: You can decline from your Dashboard or contact the gallery. Declines are professional and expected—galleries understand not every artist can participate.
Q: How long do galleries typically take to decide?
A: Most take 4–12 weeks after the deadline. Check the call details for the expected decision date.
Q: What if I don't hear back by the expected date?
A: It's okay to politely email the gallery asking for an update. Sometimes decisions run late.
Q: Are there fees if I'm rejected?
A: Entry fees are non-refundable regardless of outcome. This is standard across most galleries.
