Tracking Artist Payouts

Crafted Call helps galleries calculate, record, and reconcile artist payouts from artwork sales. Most galleries still pay artists through their own accounting process, then record the payout in Crafted Call so sales reports and artist records stay accurate.

What Crafted Call Tracks

Payout records can include:

• Artist name and contact record
• Artwork or sale that generated the payout
• Gross sale amount, gallery commission, and artist net amount
• Payout status
• Payment method or reference number, if you choose to record it
• Notes for internal reconciliation

Recording Manual Payments

Many galleries pay artists by check, wire transfer, cash, or another method outside of Crafted Call, then log the payment in the system.

To record a payment:

1. Go to the artist's payout section or Payments > Pending Payouts
2. Select the artist and click Record Payment
3. Choose the method you used, such as check, wire, cash, or other
4. Enter the amount paid and any reference number, such as a check number
5. Mark the payout as sent or completed

The system updates the artist's earnings history and your financial reports automatically. This keeps your records accurate without requiring electronic transfers.

Tip: Record payouts as soon as your accounting team sends them. That keeps artist history, sales reports, and board-facing reconciliation in sync.

Stripe-Connected Workflows

Some organizations may have Stripe-connected payout workflows enabled. If your account has those tools, follow the in-app prompts and Stripe requirements. If you do not see those options, use manual payout tracking and pay artists through your normal accounting process.

Do not collect or store bank account details in notes, comments, or unsecured messages. Use your organization's approved payment workflow for sensitive financial details.

Processing Payouts

Batch Review

Review multiple pending payouts together before your accounting run.

1. Go to Payments > Schedule Payouts
2. Select the payout date range
3. Review all artists eligible for payout
4. Confirm amounts, commissions, and any sale notes
5. Export or mark payouts according to your accounting workflow

The system calculates commissions and net artist amounts based on the sale records and commission settings.
